2) What data do we collect?

Depending on how you use the website, we may process the following data:

a) Contact form / email

  • Data provided by you: surname/first name (if you provide them), email address, content of the message, and any information you choose to add.
  • Technical data: date/time of sending, IP address and security information (anti-spam), depending on the website configuration.

b) Browsing on the website

  • Technical data: IP address, browser/device type, pages viewed, server logs (security and proper functioning).

c) Surveys (Google Forms)

Our surveys are accessible through links to Google Forms. When you answer a survey, your answers are processed through the Google Forms tool, and according to Google’s own terms and privacy policy. If, in a survey, you tick the box to “be kept informed about our activities”, we may also process the contact details you provide, for example your email address, in order to send you information about the association. Important: please do not send sensitive data, for example health data, through the contact form.

3) Why do we use your data?

We process your data for the following purposes:
  • To respond to your requests (questions, partnerships, support, information).
  • To ensure the proper functioning and security of the website (fraud/spam prevention, maintenance).
  • To use survey answers in an aggregated and analytical way in order to better understand needs and support initiatives linked to training and recognition (association purpose).
  • To send you information about our activities only if you have requested it, for example by ticking the corresponding box in a survey, or through another registration channel.

4) What is the legal basis for this processing?

Depending on the case, we rely on:
  • Your request, for example when you contact us: processing necessary to respond and manage the exchange.
  • Our legitimate interest: securing the website, preventing spam, improving the organisation of our actions and communications.
  • Your consent: to send you information about our activities when you have explicitly asked to be kept informed, and for non-essential cookies if activated.

5) Who may your data be shared with?

Your data is intended for:
  • authorised persons within the association (management of requests and activities),
  • and, if necessary, our technical service providers (hosting provider, email service, anti-spam, form tools), acting as processors.

6) How long do we keep your data?

  • Contact messages: 36 months from the last exchange, then deletion or minimal archiving if necessary.
  • Technical logs: 12 months (security).
  • Survey answers: if the answers are not anonymous, for the time needed to analyse and aggregate the answers, for a maximum period of 12 months, with priority given to the use of aggregated results.
  • Contact details to be kept informed: until you withdraw your consent (unsubscribe). We carry out regular cleaning, at least once a year, to delete clearly inactive contacts, according to an internal rule, and at the latest after 36 months without interactions.
